Job Summary:

The M&E Assistant will support Monitoring and Evaluation (M&E) efforts in the targeted district of Taiz Governorate. The primary responsibilities of this role in ensure the project’s success by overseeing the monitoring, evaluation, accountability, and learning (MEAL) activities. The M and E assistants will be responsible for tracking progress against project objectives, conducting regular field visits to monitor project implementation, and ensuring the timely collection and analysis of data. Additionally, He/She will work on reporting outcomes to donors and stakeholders, ensuring that lessons learned and best practices are integrated into project implementation. This position ensures project accountability, effectiveness, and the ability to make data-driven decisions throughout the project lifecycle.

 

Key Responsibilities:

·  Support the MEAL team at bases level in developing Monitoring and Evaluation activities, with a focus on surveys implementation and the analysis and report as per donors’, clusters’ requirements, translation of documents, and ensure that reports are written in a professional English.

· Manage the Monitoring, Evaluation, and Accountability activities of the mission and support the bases in the setting-up of the Feedback & Response Mechanism.

·  Support the MEAL team in developing the learning activities on the mission
 Assist the MEAL team in conducting training and technical support on MEAL related issues

· Technical Support to the base in conducting assessments, baseline, end-line, KAP, PDM and other needed surveys

· Support the bases, on the analysis and report writing of collected data for activities such as PDM, KAP, Baseline, End Line, etc.

· Assist in the preparation of evaluation reports for all projects, as required

· Ensure that the data collected and used tools are suitable for donor requirements (follow up of contractual indicators, method of calculation and collection, disaggregation as per donor requirements, identify strengths and weaknesses in existing data collection).

· Conduct an initial review of the monthly reports provided by bases and ensure that all these reports are aligned with the PMT (Project Monitoring Tool).

· Prepare the PMT files and the folders of field reports monthly to be shared with the bases. 

· Manage the database of findings from MEAL monitoring field visits and ensure its readiness for sharing on a quarterly basis.

· Follow up with the base Project teams on the collection and entering of checklists related to the findings from MEAL monitoring field visits into the database.

· Handle complaints received through the free toll number, SMS, WhatsApp, and complaint boxes installed in the targeted IDPs sites and Health Facilities (HFs). Register all complaints on a daily basis.

· Refer complaints based on Standard Operating Procedures (SOPs) and share feedback with beneficiaries and ensure complaints are addressed, feedback is provided, and complaints are closed.

· Give technical support to the bases in implementing accountability activities

· Provide ongoing technical support to the MEAL team and other departments, addressing any issues related to data collection, analysis, reporting, and the use of MEAL tools and methodologies.

· Coordinate the data collection process, ensuring timely, accurate, and consistent data entry for both qualitative and quantitative metrics in accordance with project requirements.

· Regularly check and reconcile data to resolve discrepancies and ensure accuracy. Work closely with program teams to correct data inconsistencies and maintain high data quality standards.

· Assist in generating weekly, monthly, and ad hoc reports, summarizing project progress, outcomes, and other key findings from the collected data. Ensure reports are clear and detailed, reflecting accurate data.

· Work closely with program teams to share insights derived from the collected data and ensure that data-driven decisions are integrated into project activities.

· Support the Data Management team by organizing, synthesizing, and analyzing data. Ensure data is available for review and integration into infographics, reports, and other communication materials.

· Provide guidance and support to field staff involved in data collection, ensuring that they understand data requirements and methodologies, and are equipped with the tools to perform their roles effectively.

· Ensure the timely preparation and submission of reports and data deliverables to the M&E Officer and other stakeholders, meeting deadlines and quality standards.

· Ensure proper verification and validation processes are in place for data accuracy and integrity, working with the M&E Officer to cross-check results and analysis.

· Participate in periodic data review meetings, contributing to discussions about data findings and adjustments to improve project performance.

· Perform other related tasks as required by the M&E Officer or Project manager to support the overall monitoring and evaluation activities of the project.

 

Education, Qualifications, and Experience:

· Education:
A diploma or bachelor’s degree in social sciences, management, statistics, or a related field.

· Experience:
At least one year of experience in an M&E role, preferably within the INGOs/NGOs sector, with exposure to data collection and reporting processes.

· Skills and Competencies:

Strong proficiency in data entry and data management systems.

Familiarity with data analysis tools and basic statistical packages (e.g., Microsoft Excel, SPSS, etc.).

Excellent organizational skills, attention to detail, and the ability to meet deadlines.

Good understanding of M&E processes, frameworks, and methodologies.

Strong verbal and written communication skills.

Ability to work independently, as well as part of a team.

Flexible and proactive, with a willingness to work extended hours, including weekends, and travel to field sites.

Advanced computer skills, particularly in Microsoft Excel and Word.

Familiarity with database management, and M&E software or tools (e.g., CommCare, KoboToolbox, or similar).
